Organise documents by case and period

Store tax, filing, and compliance documents under the correct taxpayer or entity, assessment year, and workflow. Use clear names so the final source can be distinguished from drafts. Separate permanent records, such as registrations and deeds, from period-specific returns, challans, and reconciliations.

Control access and versions

Review who can access sensitive records, replace outdated versions deliberately, and verify that uploaded files are complete and readable. A vault organises records; it does not validate their contents. Remove access when a staff member, adviser, or service provider no longer needs the case.

Export records when needed

Download and retain the documents needed for filings, reviews, notices, or migration. Remove unnecessary duplicates and escalate missing records before a deadline. Periodically test that critical files can be opened and exported with enough context to identify the final submitted version. Record retention periods, legal holds, backup ownership, and deletion responsibility for each document class. Keep a dated export before changing systems or service providers.
